Forty RTO processes, in the detail you'd want before letting anyone near your compliance.
Grouped by the team that feels the pain. For each area you get the sector knowledge we work from, the flagship build in full — what happens today, what we build, a worked example, the systems it touches — and every other process we've automated in that area.

Of them we'll build for you free, before you spend a dollar
The same four rules apply to every process above.
A human signs every judgement
Automation assembles, cross-references and drafts. Competency decisions, validation outcomes, eligibility calls and complaint outcomes are made by your qualified staff, and the record shows who signed.
Every output has a source trail
Each automated finding points back to the paragraph, record or clause it came from. If an auditor asks why, the answer is a citation, not a description of a model.
Australian data residency, no model training
Data stays in Australia by default, with documented retention and access controls you can hand to an auditor. Enterprise endpoints with training disabled — your documents never train third-party models.
Your systems, your ownership
We build on aXcelerate, VETtrak, Wisenet, Cloud Assess, Moodle, Xero, MYOB and Microsoft 365. At handover you get the documentation and the credentials. No per-seat licence, no platform rent.
The boundaries matter more than the catalogue.
The assessment judgement itself
Competent or not yet competent is a professional decision made by a qualified assessor. We will build everything that leads up to it and nothing that replaces it.
Decisions about a student's rights
Complaint and appeal outcomes, exclusions and hardship decisions get prepared and evidenced automatically, then decided by a person.
Work that happens once a year, by one person
If a process runs twice annually and takes four hours, automation costs more than it saves. We will say so at the audit.
A broken process, faster
Roughly half of what we map shouldn't be automated — it should be deleted or redesigned first. Automating waste just produces waste at speed.
Don't see your process?
If it's repeatable and rule-based, it's automatable. Bring it to the audit.
Questions about our automation services for RTOs
We map your existing compliance and administrative workflows, identify the clerical work inside them, and build automation around your current systems. You get a rebuilt process with documentation and handover — not a software licence.
Validation and moderation, evidence collection, audit preparation, enrolment and student administration, attendance and progress follow-up, certificate issuance, funding claim preparation, AVETMISS data preparation, invoicing and reconciliation, enquiry triage, and document and version control.
No. We build on aXcelerate, VETtrak, Wisenet, Cloud Assess, Moodle, Xero, MYOB, HubSpot, Microsoft 365 and Google Workspace using their APIs or scheduled exports. Nothing is migrated and nothing is switched off.
A fixed-fee blueprint followed by milestone-based build pricing quoted against the hours it saves. We publish no rate card because compliance debt varies enormously, but you see the full build and running cost before any work starts.
You do. Documentation, credentials and handover are part of delivery, so you are never dependent on us to keep running.
Yes, and we recommend it. Most RTOs start with validation because the pain is sharpest and the before-and-after is measurable, then extend into evidence collection or student administration the following quarter.
